About the Role

The Finance Assistant plays a critical role in ensuring the seamless operation of Aptitude 8’s internal systems, processes, and financial platforms. This position supports the organization through the timely execution of financial and operational business processes and collaborating with the Business Operations Manager to optimize efficiency. The role focuses on managing accounts receivable and payable, assisting with financial reporting, and supporting operational functions to maintain organizational flow and health.

Key deliverables include:

  • Maintaining healthy cash flow through timely invoicing, client payment application, and proactive collections.

  • Managing vendor payments and transaction records to ensure accuracy and efficiency.

  • Supporting accurate financial reporting via timely reconciliation of bank and credit card accounts in preparation for month-end close.

 

A Day in the Role

Your primary responsibilities will center around financial administration, with a mix of operational support tasks. A typical day may include:

  • Updating account and billing contacts

  • Executing ACH transactions

  • Managing collections and external communications with clients

  • Performing transaction matching and reconciliations

  • Preparing financial reports

  • Closing out financials at the end of the month

  • Making updates to reports and dashboards for various departments

  • Provisioning projects and setting up accounts in Salesforce

  • Troubleshooting lightweight system issues

  • Making light field and workflow edits in systems

You’ll also be expected to work closely with contractors, vendors, and internal teams, ensuring that all financial tasks are completed with accuracy and timeliness.

 

Skills

  • Intermediate knowledge of Salesforce (dashboard creation, reporting, custom fields)

  • Experience with accounting systems such as QuickBooks or AccountingSeed

  • Familiarity with financial processes like AP/AR, general ledger, and profit & loss reporting

  • Highly organized with the ability to manage multiple tasks and projects

  • Strong problem-solving and critical thinking skills

  • Effective communicator who can collaborate across levels and departments

  • Solutions- and operations-oriented mindset

  • Eager to learn, improve processes, and iterate for efficiency
