We are seeking a highly organized, proactive, and professional Executive Assistant to provide executive-level support to our Finance & Legal, People, and Marketing teams. This role requires a high level of discretion, strong judgment, and the ability to handle multiple priorities with poise. The ideal candidate is a problem-solver who takes initiative and can work cross-functionally to ensure the leaders they support are operating at maximum efficiency.

Key Responsibilities

  • Provide calendar management, meeting coordination, and travel arrangements for Finance & Legal, People and Marketing executives, includes scheduling of quarterly Board and Compensation Committee meetings

  • Act as a liaison, and sometimes gatekeeper, managing communications and ensuring timely responses to internal and external stakeholders.

  • Prepare and organize materials for meetings, including agendas, presentations, and reports.

  • Manage confidential and sensitive information with the utmost discretion.

  • Support budget tracking, invoice processing, and expense reporting across departments.

  • Own coordination and tracking of signatures and documents, and ensure documents are shipped to the correct recipients 

  • Coordinate cross-functional projects and track progress on departmental initiatives.

  • Plan and execute team events, offsites, and internal meetings as needed

Qualifications

  • 5+ years of experience as an Executive Assistant supporting senior executives, preferably in tech or a fast-paced corporate environment, or relevant applicable experience managing programs, projects or calendars for leaders

  • Experience supporting Finance & Legal, People and/or Marketing functions preferred.

  • Strong organizational skills with excellent attention to detail.

  • Strong ability to thrive in a fast-moving environment and manage competing priorities effectively.

  • Outstanding communication skills—both written and verbal.

  • High level of integrity and ability to handle confidential information.

  • Proficiency with Google Workspace, Microsoft Office, and tools such as Zoom, Slack, and expense management platforms.

Compensation Statement

The U.S. annual compensation range for this full-time position is between $130,000 and $150,000 USD/year. This range represents the annual base salary. Actual offers may be higher or lower than this range based on various factors, including (but not limited to) the candidate’s work location, job-related skills, experience, and education.
