The Office Coordinator acts as the first point of contact for the Wonderful Agency. They utilize office management skills, interact with senior-level stakeholders, and understand how advertising and public relations teams operate. They bring a positive attitude and use a best-in-class approach to completing tasks to offer the best possible customer service experience.

This position will report to the Sr. Manager, Business Operations and will be based at our West Los Angeles, CA office. We work a hybrid schedule with an in-office requirement Monday-Wednesday and the option to work remotely on Thursday and Friday.

Job Description

Office Management:

  • Manage office supply inventory and complete orders when necessary.
  • Report repairs and maintenance issues to building engineers and ensure the tasks are completed in a thorough and timely manner.
  • Order office snacks/drinks on a weekly basis to keep the refrigerator stocked.
  • Maintain cleanliness of shared spaces (e.g., conference rooms, kitchen, studio).
  • Assist with logistical needs of Agency meetings and events, such as ordering food and/or supplies.
  • Manage the Agency paid time off calendars and partner with HR during biannual timecard reviews.

Reception:

  • Greet visitors and escort them to conference rooms and/or offices.
  • Receive, sort, and route mail; maintain and distribute publications.
  • Answer and direct questions about the organization.

Administrative Support:

  • Provide light administrative support for two Executives including, but not limited to:
    • Completing monthly expense reports.
    • Coordinating IT requests.
    • Scheduling meetings on an as needed basis.

Employee Onboarding:

  • Create welcome baskets, prepare workspace(s), and print onboarding materials.
  • Give new hire office tours and faciliate introductions.
  • Connect new hires with their assigned “Wonderful Buddy.”

Qualifications

  • 3+ years of experience working in an office environment
  • Proven ability to support and assist executive leadership.
  • Customer service-oriented attitude within a fast-paced work environment.
  • Experience with Microsoft Office and Concur or other expense report software.
  • Strength in building relationships with key stakeholders.
  • Engaging and professional demeanor.
  • Demonstrated ability to remain calm in potentially stressful situations.
  • Ability to prioritize multiple competing projects.
  • Aptitude for using discretion when handling sensitive or confidential information.
  • Keen attention to detail.

Pay Range: $27 - $29 an hour.  Final compensation will be dependent upon skills & experience.
