Executive Assistant:
As the Executive Assistant to our CEO, you will provide high-level administrative support and be an integral part of our team. This role requires strong problem-solving skills, forward-thinking, excellent communication, and the ability to anticipate needs. You will gain exposure to all areas of the business and have the opportunity to grow within a dynamic and fast-paced environment. With this responsibility comes the need to maintain a mature attitude and demonstrate seasoned respect while handling various challenges. The ideal candidate is able to interact with all levels of relationships from the Board of Directors, to high profile collaborations and friends of the brand, to employees and the media. They are able to organize and maintain confidential data and information with the utmost integrity.
What You’ll Do:
- Executive Support & Calendar Management
- Manage the CEO's calendar, prioritizing inquiries and requests, adjusting conflicts, and making recommendations to ensure smooth daily operations.
- Coordinate events and meetings, ensuring smooth execution.
- Handle a wide range of administrative tasks to support the CEO’s calendar, including preparing agendas and materials, partnering with other EAs to coordinate and prioritize meetings, arranging travel, and maintaining contact lists.
- At times, handle personal tasks and responsibilities for the CEO, including managing personal appointments with discretion and confidentiality.
- Project Coordination & Support
- Serve as the main contact for stakeholders on CEO-related matters, handling confidential issues and determining responses in line with the CEO’s style and company policies.
- Assist in planning, executing, and monitoring key projects. Collaborate with cross-functional teams to ensure project success.
- Assist and support the CEO in major company wide initiatives, including creating draft presentation materials, memos, tracking completion and communicating with CEO direct reports.
- Demonstrate strong writing and communication skills, drafting correspondence on behalf of the CEO with minimal direction.
- Support with Company wide events, such as All Hands meetings, offsites, etc, partnering with the CEO and various members of the Leadership team.
- External Representation
- Act as a liaison to the Board of Directors, managing all logistics for Board meetings and events.
- Act as a representative for the CEO in scheduling press interviews, meetings with investors or potential collaborations and other external relationships.
What You’ll Need:
- 5-10+ years experience as an Executive Assistant providing support to a senior executives
- Advanced PC skills (proficient using Google Suite, Microsoft Windows, Word, Excel, Outlook, PowerPoint and the Internet)
- Excellent interpersonal and communication skills (written and verbal)
- Analytical, strong problem solver and extremely organized
- Capable of managing multiple projects, competing priorities, and tight deadlines simultaneously while maintaining high quality standards
- Strong adaptability, flexibility and resourcefulness
- A proactive approach to problem solving with strong decision making skills
- Demonstrated ability to maintain a high level of professionalism and confidentiality
- Bachelor’s Degree preferred
