The Executive Assistant supports the CEO with administrative tasks, manages schedules, coordinates meetings, tracks budgets, and prepares reports, requiring excellent organizational and communication skills.
The Executive Assistant is an integral role on the executive team reporting directly to the Chief Executive Officer. The Executive Assistant will provide high-level administrative and executive support, managing schedules, correspondence, travel, and acting as a liaison between the CEO and internal/external stakeholders.
Responsibilities include (but not limited to):
- Administrative Support: Duties include meeting scheduling, calendar organization, travel planning, phone answering, event planning and other duties as assigned.
- Calendar management. Scheduling, coordinating, and ensuring the CEO's appointments and meetings run smoothly.
- Departmental budget tracking and reporting, expense management: Filing timely expense reports for CEO and maintaining monthly budgets as requested/required by Finance, ensuring that all reports are accurate.
- Assisting in the preparation of reports, presentations, and other materials for the CEO.
- Attending weekly Leadership meetings, taking detailed notes and actioning follow ups appropriately.
- Handling sensitive information and maintaining confidentiality and discretion at all times.
Qualifications:
- 3-5+ years of experience in an administrative support role in a fast-paced environment preferred
- Bachelors Degree preferred
- Experience assisting a C-Level executive is preferred
- Working knowledge of Microsoft Office applications (Outlook, Word, Excel and PowerPoint) as well as Google Suite
- Excellent communicator, both written and verbal
- Incredibly organized and capable of juggling multiple projects simultaneously with a strong attention to detail and follow-up

Salary Range: $75,000 - $90,000 based on relevant experience
