Beautycon Media is looking for an Executive Coordinator to join our team. This role reports directly to the CEO, has visibility across the entire organization, and will interact with top startup and entertainment investors in the Digital Media space.

You will be responsible for scheduling, travel arrangements, researching, and shadowing the CEO. This is an entry-level position with a lot of room for growth. We are a funded startup working in an exciting space! We are looking for somebody who wants to learn about the digital media space for a living, keep up with relevant trends, and find the next big thing in digital.

Our digital and traditional influencer community ranges digital superstars who reach across YouTube, Instagram, SnapChat, Tumblr, Pinterest and beyond. Beautycon Media brings everyone together to showcase their talent and craft front and center for brands and fans, both online and in real life!

We are looking for someone to start immediately!

Job Responsibilities:

  • Manage CEO’s calendar including:
  • Ensuring adequate travel time before and after
  • Never allowing a double-booking to occur
  • Confirming all meetings in advance
  • Preparing CEO for all meetings including:
    • Ensuring there is always an agenda
    • Researching all attendees and presenting relevant info to CEO (e.g., LinkedIn profile, CrunchBase profile, relevant recent Facebook/IG/Twitter/SnapChat posts, recent press articles)
    • Preparing talking points for interviews with press, background on journalists, investors, stakeholders
    • Bringing gifts when relevant
  • Follow up for CEO after meetings:
  • Recapping meetings via email
  • Sending follow-up gifts
  • Drafting thank you notes
  • Updating details of meetings in company CRM
  • Research and continually update CEO on relevant industry goings on
  • Draft emails for CEO
  • Coordinate with department heads to relay relevent CEO requests, decisions
  • Speak intelligently on CEO's behalf to investors, talent, and brands
  • Research trends, forecasts, and develop a strong understanding across the industry
  • Constantly be up to date on all industry happenings & identify opportunities we need to pursue
  • Connect dots between our investors, their relationships, and necessary connections
  • Create materials, press kits, releases
  • Work with Director of Partnership to ensure CEO and Partnerships team are working on all relationships
  • Identify brand opportunities for talent
  • Travel to events, attend conferences
  • Manage CEO’s linked account/inbox and use platform as a resource for targeting prospects
  • Help recruit within our network
  • Make sure CRM is up to date- enter every completed meeting or call

Candidate Skills:

  • Strong attention to detail and communication skills 

  • Ability to work with integrity and confidentiality 

  • Impecable research skills
  • Ability to work within a fast­paced environment and deliver information succinctly
  • Discretion as this person will have access to sensitive executive materials 

  • A start­up mentality, willing to roll up your sleeves, get busy and hustle 

  • Understanding of Beauty, Fashion, Lifestyle, and New Media trends 

  • Passion for the digital media space and desire to remain ahead of the curve with respect to knowing all the current key companies, investors, trends, and events.

Job Requirements:

  • 1 year experience in a fast­paced environment
  • Strong copy skills, grammar, and spelling a must 

  • Powerpoint, Keynote, Photoshop, Excel, Google Suite 

  • Understanding of client management and client relations
  • Salary will be competitive based on experience
  • Must have a car and feel comfortable driving regularly
